Overview

SphereSync ("we", "us", "our") is a relationship management tool for real estate and mortgage professionals. This policy explains what information we collect, how we use it, and your rights. We do not sell your data to anyone.

Information We Collect

• Account information — your name, email address, phone number, and password when you create an account.
• Contact data — names, phone numbers, email addresses, and relationship notes for the contacts you add to your sphere.
• Message data — the text messages and emails generated and sent on your behalf, and any replies received.
• Usage data — standard server logs including IP addresses and browser information to operate and secure the service.
• Billing data — payment information is handled directly by Stripe. We do not store credit card numbers.

How We Use Your Information

• To send automated relationship messages to your contacts on your behalf.
• To forward replies from your contacts to your phone or email.
• To generate AI-written messages using your voice profile preferences.
• To process your subscription payments through Stripe.
• To notify you of contact activity, replies, and scheduled messages.

Text Messaging

SphereSync sends SMS messages on behalf of its users to their existing contacts and professional relationships. Message recipients have an established relationship with the user (agent or lender) who added them to the platform.

Reply STOP to any message to opt out. Message and data rates may apply. We comply with TCPA and carrier guidelines for business messaging.

Data Sharing

We do not sell, rent, or trade your personal information. We share data only with:

• Twilio — to send and receive SMS messages.
• SendGrid — to send email notifications.
• Stripe — to process subscription payments.
• Anthropic / OpenAI — to generate message content (no personal contact data is included in AI prompts beyond first names).
• Supabase — to store your account and contact data securely.

Data Security

Your data is stored on Supabase with row-level security so you can only access your own records. All data is transmitted over HTTPS. We use industry-standard practices to protect your information.

Data Retention

We retain your data for as long as your account is active. If you cancel your account, you may request deletion of your data by contacting us. Message logs are retained for 12 months for compliance purposes.

Your Rights

You may request access to, correction of, or deletion of your personal data at any time by contacting us. You can also export your contact list from your account settings.
